Budgeting beyond the equipment price

Total budget should include delivery, services, import-related costs and initial maintenance.

Updated: 2026-10-02 · Purchasing guide

Itemise costs

Separate equipment, service, inspection, domestic/international transport, insurance, border charges and taxes. State inclusion, currency and settlement.

Use inspection findings

Estimate servicing and repairs from fluids, filters, tracks, tyres and seal findings. Do not invent remaining life without evidence.

Compare quotation scope

Similar prices can cover different delivery points, responsibilities and condition. Align scope and distinguish estimates from fixed costs.

Plan for contingencies

Agree how reinspection discrepancies, shipment changes and additional costs are approved. Base contingency on the project and findings.

This is a general purchasing and evidence checklist. Confirm actual condition, transaction terms and import/export requirements for the case.

Include initial ownership costs

Itemize purchase price, inland and cross-border transport, handling, insurance, inspection, transaction services, confirmed taxes, initial servicing, wear parts and repair contingency. Obtain quotes for items such as tracks, pins and hoses. Base the contingency on the actual machine rather than a universal percentage.
